Online Booking Rules

Online Court Booking

 1.  Play time is between 8:00am and 11:00pm, consisting of one hour (i.e. 60 minutes) time slots. Bookings in the system are for 60 minutes.

2.  All six courts can only be booked through the online system by logging into your member account.

3.  Members can book a court up to seven days in advance.

4.  The weekday 6:00pm – 9:00pm intervals are considered “prime time”.

5.  A member is allowed to book up to a maximum of six (6) times per week, including no more than three (3) prime time bookings.

6.  Courts can be booked up until the time of play. For example, if there are any unreserved courts at 3:01pm (per the website/online booking clock), those 3:00 – 4:00pm unreserved courts will no longer be “bookable”.

7.  To book singles, you will need to provide two names in the booking system. To book doubles, you will need to provide four names. When playing with guests, you need to provide the guests’ names.

8.  Bookings include those made by the member or by other players where the member is added as a player.

9.  Members cannot hold two court bookings at the same time of day.

10.  Members may only book a court which they themselves will play on the entire time. Booking courts for friends or family (other than members under a family membership) is not allowed.

11. Only the members whose names appear on the booking can be on the courts playing.

12. Walk-ins are allowed if the courts are not booked before or after a member’s reservation. Walk-ins do not count as bookings. However, a confirmed booking has precedence over occupancy of a court by a member who has not booked it.

13. A courtesy email confirmation is sent automatically after the court is booked online to all participants. It is the members’ responsibility to ensure that their email address is valid and properly set up in the system.

14. A guest may visit a maximum of 4 times per season and must be accompanied on court by a member. When a member makes an online booking with “Guest”, the system automatically creates a $10 guest fee charge to the member’s account and guides the member to make the online payment.

15. Executive approved, organized activities such as tournaments, round robins, clinics, lessons or maintenance have priority on courts. The board will make effort to book those events in advance, so that the members cannot book the courts if they are required for other activities. However, in case of tournaments, completion of matches has priority over bookings by members.

16. After 6:00pm juniors may only play if an adult member is at the club with them.

17. All players must vacate the court promptly when their court time ends and the next slot is booked.

18. No more than four players are allowed on the court at any time except for tennis lessons, clinics, or summer camp.

Cancellations, No-Show and Penalties

1.  Courts must be claimed within 15 minutes of start time or the court will be released by the club attendant so other members may use the court. If the member is a ‘no show’, then a written warning will be sent to the member. If the ‘no show’ continues, then the member’s booking privileges will be suspended for 7 days.

2.  Cancellation of court bookings can be done without penalty up until 3 hours before the start of the booked slot. Members should make cancellations themselves online. Cancelling courts on the day of the booking should only be done due to inclement weather or unforeseeable circumstances and will be monitored.

3. Where there are abuses of the online booking system, those members will be given a verbal or email warning. If the abuse persists, a second warning will be sent to the member. If the abuse still continues, then the member’s booking privileges will be suspended for a week. Repeat violations will result in a month suspension.

4. During a suspension period, you will not be able to log into the booking system and your name will not be available to be booked by the club or any other member. Any existing bookings will also be cancelled.

5. A member who continues to abuse online booking rules or any other club rules may be subject to termination of membership.
